Job Summary:

Akima Infrastructure Services, LLC (AIS), is actively seeking a Web Conferencing Support Specialist as part of our staff augmentation team supporting the Department of Energy at National Renewable Energy Laboratory (NREL).

Successful candidates will be employees of AIS, a premier government contractor charged with employing highly motivated and well-qualified personnel who can advance the missions of the National Renewable Energy Laboratory located in Golden, CO. Though employed by AIS, the employee will take day-to-day direction from technical personnel employed directly by the research laboratory. Pay, benefits, Human Resource, and Employment Management functions are provided by AIS.

Qualified applicants must be a US citizen, at least 18 years of age, and able to meet pre-employment requirements including any required physicals, drug screen, and/or background investigation to satisfy clearance requirements from the Department of Energy.

The selected candidate will be required to work remotely an estimated 10 hours per week between the hours of 8 AM – 5 PM Mountain Time, Monday-Friday unless otherwise directed by NREL. Actual time may vary depending on workload requirements. Job duration is projected to be a 24-month period of performance.

NREL’s Communications Office (CO) supports NREL’s mission by broadening the impact of NREL’s research and development work through multiple outreach and scientific channels including various forms of web conferencing. Support is required, on an as-needed basis to assist the CO with planning, hosting, and post-event tasks associated with live web conferences to support CO clients. The CO will provide specific assignments via email or conference call. Project assignments shall vary in size from a meeting with a small audience to a multi-day workshop with several hundred attendees. Interested candidates should be comfortable working with Zoom, MS Teams, and Webex. The successful candidate will be a self-motivated individual who demonstrates meticulous attention to detail and quality.

Responsibilities

Job Responsibilities:

Web Conference Planning -

  • Advising on available options to ensure presenters’ and participants’ best experience

  • Scheduling web conferences for clients across multiple platforms, including Zoom, WebEx, and Microsoft Teams

  • Planning for web conferences event needs including break-out sessions, polling, multiple speakers’ presentations

  • Setting up event invitations and/or registration pages

  • Ensuring presentation materials are received for event—in correct format

  • Scheduling and hosting practice sessions prior to live events

Web Conference Hosting -

  • Serving as the meeting technical host to providing technical support during live events

  • Troubleshooting during web conferences to resolve issues and assist presenters and participants

  • Run polls and manage breakouts, when needed

  • Share links in the chat, when needed

  • Recording events when required

Post-web conference -

  • Providing/coordinating event recording files/links when required

  • Order transcripts

  • Collaborating with NREL teams to document issues during web conference and help resolve for future events

Web Conference Technical Support -

  • Provide technical support to NREL Communications Office staff who conduct live events

  • Troubleshoot questions from NREL Communications Office staff who conduct live events

Qualifications

Minimum Qualifications:

  • 1-2 years’ experience working with Zoom, WebEx, and Microsoft Teams platforms per the tasks noted above

  • Experience working with subject matter experts/web conference presenters

  • Ability to handle stressful situations with a calm demeanor

  • Problem solving approach to troubleshooting

  • Client service mindset

  • Collaborates well with teams

  • Ability to multi-task, planning for multiple events in parallel

  • Pre-employment Drug Screen - External applicants selected for this position are required to successfully complete a post-offer, pre-employment drug test.

  • Medical Exam(s) - Job related pre-placement medical examinations may be required for this position.

  • This position may require the ability to obtain and maintain a clearance from the Department of Energy. If determined as such, this position would be identified as a Workplace Substance Abuse Program (WSAP) testing designated position. WSAP positions require participation in an ongoing random drug testing program in addition to the pre-employment drug screen.

Salary Range: $42.00 to $65.00 per hour – The salary offered to the successful candidate will be determined based on the candidate’s qualifications, work experience, and their ability to meet the known requirements of the position as determined at the time of hire. Job location will also be a factor in determining the salary offered.

Paid Leave : Paid Time Off (PTO) is offered to regular full-time and part-time employees.
