Description of Work Unit

The College of Business at Colorado State University is an AACSB accredited business school that enrolls more than 2,500 undergraduate students in eight business concentrations and approximately 1,500 graduate students across eight graduate programs. Position Summary

The Program Facilitator is responsible for moving forward projects and initiatives that further the objectives of the College’s Academic Programs including but not limited to the Impact MBA . This position will assist with communications, budgets, events, travel, supervision of student hourly employees, and other general administrative duties.

The Program Facilitator directly supports students, program initiatives, management of events, and student experiential budgets. This position ensures compliance with CSU’s fiscal policies, and proposes policy informed solutions to nuanced circumstances when they arise.

This position will be responsible for supervising 1-2 work-study students, plus support for up to 15 student hourly employees (Corporate Sustainability Fellows) over the summer.

Additionally, this individual manages unique student situations, and signature student experiences.

Minimum Qualifications

To be considered for this position, candidates must demonstrate in the application materials:

  • One year of experience working in higher education and/or customer service.

  • Bachelor’s degree from an accredited institution.

  • Demonstrated proficiency with MS Office – specifically Excel, Outlook, and Word.

Essential Job Duties

Duty/Responsibility

  • Manage hiring process for up to 15 students per year as Corporate Sustainability Fellows who are assigned to work for external organizations for 400 hours over the summer.

  • Support up to 15 Corporate Sustainability Fellows during the summer, including regular check-ins and tracking hours in appropriate systems.

  • Recommend use of the experiential learning project budget $300,000+ annual 13- budget.

  • Create the process and assist the Program Director and Program Manager in the complex, multi-step Corporate Sustainability Fellow matching process.

  • Assist faculty in course assignments that relate to the fellowship process.

  • Coordinate travel-related logistics, including Travel Authorizations, travel advances, liaise with the Office of Risk Management, liaise with travel agents, and process all reimbursements.

  • Plan and lead annual training sessions with students regarding travel, expenses, and process, case competitions, hiring, fellowships, and international student tax orientation.

  • Review and update the documentation provided to students to explain the fellowship processes.

  • Create clear communication to students, faculty, and partners regarding activities and opportunities for networking and engagement, including a weekly newsletter.

  • Interpret scholarship spreadsheet and use to create and submit DPSA forms each semester.

  • Process stipend payments for students.

  • Manage social media communications on LinkedIn, Instagram, and Facebook

  • Assist Program Director to draft internal funding proposals and manage awarded funds.

  • Assist Program Director with grant management.

  • Participate on college committees and on FAST (Business Operations) meetings.

  • Design, maintain, and update schedules, fliers, worksheets, documentation, infographics, etc.

  • Update surveys and send to students each semester and compile results to share with staff.

  • Understand and ensure compliance with CSU rules for purchasing goods and services that support COB graduate programs.

  • Assist with budget development and monitor expenses relative to budget.

  • Process P-Card expenditures.

  • Process Kuali accounting requests.

  • Create official function forms for reimbursements.

  • Attend meetings and record minutes. Manage Impact MBA staff OneNote.

  • Ensure student and staff fiduciary compliance with CSU policies and processes.

  • Assist with scheduling and manage a shared calendar and phone number.

  • Supervise, mentor, and provide direction to student workers including determining job descriptions, work assignments and projects, coaching, promotions, raises, etc.

  • Create Travel Authorizations and process Travel Reimbursements for staff and students in Academic Programs.

  • Other Administrative Support duties as assigned.

  • Plan, coordinate, and share communication around Orientation events and retreats for incoming students of Academic Programs.

  • Plan and coordinate speakers, events, and other activities. This includes booking or contracting event space, coordinating catering, and responsibility for setup and cleanup at the event.

  • Attend all program events and serve as point person.

  • Design and distribute attractive event invitations.

  • Manage speakers’ logistics and create schedules of events to be shared with Marketing and Communications department.

  • Develop new event ideas, proposals, and plans to enhance the student experience.

  • Conduct annual event audit/review to assess outcomes and propose changes in logistics, including but not limited to: venue, catering, schedule, parking, other logistics.

  • Create, update, and communicate event calendars including, and create and manage Outlook invitations to staff and students.
